In practice
The integration is not a technical detail — it is what decides whether the process actually runs. If someone has to export a list and email it on, it happens whenever there is time. If it is automatic, it happens on day 1, every time.
The other direction matters just as much: if the debtor pays you directly, the collection case has to know immediately. Otherwise you are chasing a customer who has already paid — and that is the kind of thing that costs you customers.
Where it commonly goes wrong
- Payments are synchronised only once a day. Then reminders go out on invoices that are already paid, and the trust is gone.
- The integration sends invoices but not credit notes. Reminders then chase amounts that have been credited.
- Nobody watches the error log. An integration that fails quietly is discovered when a customer complains.
