Reminders Rieck Invoice

Reminders sent automatically when the customer does not pay

Rieck watches the due dates and sends the letter on the agreed day. Payment sits inside the reminder, the deadlines follow Danish law, and you are not the one who has to remind a good customer about the bill.

  • Free for 30 days
  • No payment card
  • One day’s notice

The thinking behind it

The decision is made long before the invoice falls due

  • The calendar runs the send-out. The run lives in the calendar, not in someone’s head or a spreadsheet. Set the first reminder to day 10 and it goes out on day 10 — including in the week when everything else is on fire.

  • Every debtor meets the same procedure. Each customer gets the reminder at the same point in the sequence, whoever happens to be handling the case. You can count on when the money lands, and show your auditor that the procedure was identical throughout.

  • You have already decided how far a case may go. When a case may move a step further is written into the setup. The customers you have flagged come to you first, and the rest carry on as agreed.

A closer look

The days, the channels, the segments, the letter, the rules, the objection and the price

The cadence

The order, and the gaps in between

An ordinary sequence, counted from the day the invoice falls due. You pick the days yourself. Danish interest law sets how many reminders may be sent and how long has to pass between them, and the debt collection act sets the notice period.

  • A notice on the due date itself, before the three statutory reminders
  • At most three reminders, at least ten days apart (Interest Act § 9 b)
  • Collection notice with the statutory ten-day deadline (Debt Collection Act § 10)
The channels

If the email goes unopened, the next channel takes over

The reminder goes out first by the route you chose. If it sits unopened, Rieck sends the same letter on — by SMS, to e-Boks, the Danish digital mailbox, and finally as a printed letter. You decide the steps, and the payment link travels with it all the way.

  • The same letter, a new channel, when the last one went unopened
  • e-Boks through our partnership with e-Boks
  • A receipt for every dispatch, kept on the case
The segments

Different customers get different flows

A long-standing partner should not be chased like a new customer who has never paid. Customers are split into segments, and each segment gets its own flow — channel, timing and tone — from the first notice to the last reminder.

  • A flow of its own for each customer segment
  • Channel and timing chosen automatically for the segment
  • The statutory deadlines apply in every flow
The letter

It is your name on the letter

The reminder goes out on your letterhead, from your sender address and in your words. Payment sits inside the letter itself, so the recipient can settle it there and then. You set the tone, and it need not be the same for a long-standing partner as for a customer who always pays late.

  • Your logo, your sender, your wording
  • A different tone for different kinds of customer
  • Card, MobilePay or payment link inside the letter
The rules

You set the limit for what may happen without you

Amount limits, days, and the customers who must never get a reminder on their own. If the case is above the limit, or the customer is flagged, it comes to you before anything is sent.

  • Your own amount limit per customer segment
  • Key accounts set for approval by hand
  • The same rule for everyone in the same segment
The objection

An objection stops the cadence the same day

A reminder on top of a disagreement makes the case harder to settle and the relationship worse. So the sequence halts the moment the debtor objects. We read the objection and come back with an answer you can act on.

  • The sequence halts as soon as the objection arrives
  • A case handler at Rieck looks at it
  • You get the answer and decide what happens next
