Subscriptions & memberships

A declined charge is a cancellation nobody wrote

A subscription that works needs no attention. It is the charges that fail which cost revenue, and Rieck retries those before the member notices.

The rhythm has to retry, before the member notices

  • The member enters the card once.

Cards and mandates sit tokenised with the payment provider. You never hold card numbers, and the member does not have to approve the same charge every month.

  • The rhythm retries on its own.

The attempt is retried on a set rhythm, and the member gets a message with a link they can fix it from. Most failures are an expired card, not a decision.

  • The member sorts it out in the portal.

Card changes, pauses and cancellations happen on your own domain. That is what moves the enquiries away from the phone.

The charges

Most declined charges can be retried

The card expires, the account is empty, the bank says no. The rhythm has to retry on its own, before the member notices that nothing was charged.

The four places a membership turns

Where a membership loses money

  1. Sign-up

The payment method is stored once

At sign-up the card or mandate is stored tokenised with the provider. You never see the card number, and there is nothing to hold on to when the member leaves again.

    • Card, MobilePay and direct debit
    • Tokenised — you do not store card data
    • If the card expires, the member is warned before the charge
  2. The rules

One cadence covers every active membership

Charge date, trial period, how many times a declined charge is retried, and when a membership is put on hold. The rules apply to every member, and they do not change because a colleague is busy.

  3. The failed charge

The charges that hit the floor

Declined charges are gathered in one place with the reason for the decline — not as an error log, but as a work list that gets shorter. If the amount is not in after the last attempt, it continues in the ordinary cadence.

  4. Self-service

The member updates the card in the portal

The link in the message leads to your own domain, where the member can change card, pay the arrears or put the membership on hold. It is the single thing that moves the most support off the phone.

Start where it hurts

Where most businesses begin

Each part can be taken on its own. Most subscription businesses start at the failed charges, because that is where revenue is quietly leaking, and add sign-up and the portal afterwards.

Customer cases

One case all the way — including when it goes to court.

How it works

With more than 500 locations, getting paid takes a process that runs the same way every time. When an invoice goes unpaid, it continues as the same case at Rieck — with the full history, and without anyone exporting a file.
